How to redact text within a document

In this article, users will learn the steps required to redact text within a document with Filer. Redacting documents is crucial for documents that contain sensitive information being shared with others that do not have clearance to view.

In this article, screenshots will follow the example of an employee record context. All steps outlined below will be relevant for your context.

Text redaction in documents with Filer

Navigate to the SharePoint site where Filer is installed at your organisation.

Search for the record you are looking for using search, bookmarks, views or briefcases.

From the list of files in a particular record, select the file that you would like to copy.

Click the document actions drop-down in the document settings ribbon above the opened documents and select ‘Redact’.

This will open the redaction options available to users. Users can select one of the colours that will be used to mark the documents for content that needs redacting.

It is recommended to click ‘Enter full screen’ button in the document settings ribbon, this will provide the user with the optimal experience for annotating a document.

To begin redacting content, highlight the content that you wish to redact.

The redaction panel will open, providing details of who has added redactions, the colour used, the date and the region of the redaction. From here, users can edit redactions including the positioning and size of redaction area.

When the document has been correctly redacted, click ‘Redact all’ button.

Redactions will not be saved automatically, click the ‘save’ button.

Users will have the option to overwrite the existing file or save as a copy. After selecting your option, click ‘Ok’ to publish the redacted version of the document.
