Create Document Types

There are several steps to setup a new Filer configuration, the initial steps in this process involve setting up some lists and libraries with their respective columns and content types. The third step in this process is to create site content types which will be covered in this article.

These content types will be used to associate certain metadata against record documents and will also facilitate the mapping of properties so a relationship can be formed between records and documents relating to them.

Creating Content Types

  1. Navigate to the SharePoint site which you have setup for this configuration.
  2. From the Home page of your site, select the ‘Settings’ icon from the top right of the site.

 

  1. From this menu select ‘Site Contents’

 

  1. From this screen select ‘Site settings’

 

  1. Then select ‘Site content types.

 

  1. Select ‘Return to classic’

 

  • Now select ‘Create’.

 

  1. For your first content type, this should act as a parent to the other content types you create, so make sure to give this an appropriate name, then under Parent content type select the ‘Select parent content types from’ and ‘Parent content type’ dropdowns, next choose ‘Document Content Types’ and Document respectively.

 

  1. Once you have filled out the relevant information under the ‘Name and Description’ section go the ‘Group’ section and select ‘New Group’ and then enter a name to categorise your content types. Finally select ‘Ok’.

 

  1. Next repeat steps 7-9 but this time under the ‘Name and Description’ section, then under Parent content type select the ‘Select parent content types from’ and ‘Parent content type’ dropdowns, choose the group you set up for your first content type and the name of the parent content type that you setup first respectively.

 

  1. Then under the ‘Group’ section select the ‘Existing group’ dropdown and choose the group you set up for your first content type. And once you have added the other relevant details select ‘Ok’.

You can then repeat steps 10-11 until you have created all the content types you need.
